Initial Situation
Porsche Informatik operates systems for workshops and service centers within the Volkswagen Retail Group across multiple European countries. As a result, very large volumes of incoming invoices and business documents are processed every year.
Manual handling of these documents created significant effort for data entry, assignment and verification. At the same time, the goal was to assign invoices automatically to specific business cases and further develop workflows in a scalable international setup.
The company was looking for a solution that integrates into existing environments and provides structured document data for downstream workflows.
High levels of automation are only possible, when documents can be processed in a structured, assignable and system-ready way.

Challenge
Processing international invoices involves a high degree of variation and complex data structures. Different layouts, country-specific requirements and large document volumes further complicate stable processing.
In addition to standard invoice information, specific content such as vehicle identification numbers (VINs) and license plate numbers also needed to be identified reliably and matched with existing master and transactional data.
At the same time, data security, integration capability and controlled operation within existing IT environments played a central role.

bluDELTA was integrated into the existing invoice processing application and handles the structured analysis of incoming documents. Relevant information is automatically identified, extracted and provided for downstream workflows.
In addition, bluDELTA supports the automated identification and assignment of business cases. This reduced manual verification and processing effort while significantly shortening processing times.
The solution was rolled out internationally across Germany, Austria and Poland and integrated into the existing system environment as an on-premises deployment. This ensures that sensitive document and company data remains within the existing infrastructure.
